Manage tours in brightwheel CRM

[For Admins] Learn how to view upcoming tours, mark a tour complete or a no-show, reschedule, postpone, or cancel a tour.

The Tours page shows every upcoming tour in one place so you know who is visiting and when. For example, if a family doesn't show up, you can mark a no-show and send them an email to reschedule in a few clicks.

View upcoming tours

Once you’ve set your tour availability and shared it with families, you can view any upcoming scheduled tours from the Tours page.

  1. Log in on the web

  2. In the sidebar menu, go to CRM > Tours

  3. Select the tab for upcoming tours


Take action on a scheduled tour

From the Tours page or a lead's profile, you can

  • Mark complete: Record that the tour happened.

  • Mark no show: Record that the family didn't attend. You can email them to reschedule.

  • Reschedule: Choose a new date and time for the tour.

  • Postpone: Move the lead back to Contacted with no other action.

  • Cancel: Cancel the tour and send the tour canceled email.

Take action on a scheduled tour

  1. Log in on the web

  2. In the sidebar menu, go to CRM > Tours

  3. Select the tab for Upcoming tours

  4. Check the box next to the tour you wish to edit, then hit Actions

  5. Make your selection to mark as complete, no-show, reschedule, or cancel the tour

💡 Tip: You can always adjust the Tour cancellation confirmation message from the CRM > Setup > Message templates page.


FAQs

What happens when I cancel a tour?

Brightwheel sends the family your tour-canceled email, which you can edit.

Can I change the tour emails?

Can a family cancel or reschedule a tour on their own?

Not yet. Families need to contact your school directly.

How are CRM tours different from Sign-ups?

CRM tours are built into your pipeline. When a family books a tour, their lead moves to Tour scheduled automatically, and you can manage the tour from the Tours page or the lead's profile.

You can still use Sign-ups for tours, but they aren't connected to your leads, so we recommend CRM tours instead. Sign-ups work best for other events and supply collection.
