The Payroll Report will generate the total number of regular hours and overtime hours a staff member has worked in a specific date range.

Payroll Report

By default when navigating to the payroll report, all staff members will be listed with the total regular hours and overtime hours they have worked from their very first shift to the most recent. Administrators have the option to filter this report as needed.

  1. Log in on the web

  2. Navigate to the Reporting tab from the purple dashboard menu

  3. Under Staff reports, select Payroll

  4. Select the Staff Member using the dropdown menu

  5. Use the Date Range picker to select the appropriate range

  6. Click Apply to filter the results

  7. To print, click the πŸ–¨ icon

  8. To export and send the results via email:

    1. Choose the recipient's email addresses using the checkboxes or Add option

    2. Click Email to X person when ready

  9. To export and download a CSV or PDF

    1. Select the File Type

    2. Click Download when ready


Calculating Overtime

Administrators can also use the payroll report to calculate overtime hours worked by staff. The calculations are based on the program's week start day which defaults to Sunday but can be easily changed at any time in school settings. Any hours over 40 within a seven-day period based on that week's start day will be considered overtime.

Please Note: Overtime calculations will include any tracked time over 40 hours per week. This calculation does not account for state-specific overtime laws, such as those in Alaska, California, Colorado, or Nevada.


Payroll for Removed Staff

Once a staff member has been removed from brightwheel, their name will no longer appear in the drop-down menu when viewing Payroll or Timecard Reports. To view these reports for removed staff members:

  1. Log in on the web

  2. Navigate to the Reporting tab from the purple dashboard menu

  3. Under Staff reports, select Payroll or Timecards

  4. Leave the Select Employee field blank to run the report for all staff members

  5. Select the needed date range

  6. Click Apply to generate the report

  7. Export the report as a .CSV file to an email address

  8. Open the attached report, and use a spreadsheet tool to search or filter for the removed staff member's name
